Passport & ID Photo File Size Requirements (And How to Hit Them)

Getting the photo dimensions right is only half the battle on most government and visa portals — the other half is the file size limit, and it trips people up constantly. A photo that looks perfectly fine can still get rejected at upload because it's 40KB over the cap.

Why file size limits exist at all

Government portals process enormous volumes of uploads, so most of them cap photo file size (commonly somewhere in the 20KB–300KB range depending on the form) to keep their systems fast and storage manageable. The limit has nothing to do with your photo's actual quality — a sharp, well-lit photo compressed correctly can easily fit under 50KB without looking noticeably different from the original.

Dimensions and file size are two separate requirements

It's easy to fix one and forget the other. A photo can be exactly the right pixel dimensions (say, 200×230px for many Indian passport and exam forms) and still be too large in KB if it wasn't compressed afterward — and vice versa. Both need to be checked before you upload.

A reliable order of operations

  1. Crop and size the photo correctly first — use our Passport Photo tool for standard passport, visa, and ID dimensions.
  2. Check the form's specific file size limit — it varies by portal, so don't assume it matches a different form you filled out before.
  3. If the exported photo is still too large, run it through Compress Image with the exact KB limit as your target.
  4. Re-check both dimensions and file size on the final file before uploading.

Always confirm on the actual portal

Requirements do change between form cycles and between agencies — a visa portal's limit isn't necessarily the same as an exam board's or a passport office's. Treat any number you've seen before as a starting point, not a guarantee, and confirm the current requirement on the actual form you're submitting.

Why the KB limit exists on top of the pixel requirement

Government and visa portals process an enormous volume of photo uploads daily, and every uploaded file adds to storage and processing load across their entire system. Capping file size keeps that load predictable regardless of how large individual applicants' original photos are — it has nothing to do with judging your photo's quality, and everything to do with system capacity at scale.

Typical ranges, and why "typical" isn't "guaranteed"

Many Indian passport, visa, and competitive exam portals cap photo uploads somewhere between 20KB and 300KB, with pixel dimensions commonly in the 200×230px to 600×600px range depending on the specific form. These numbers shift between form cycles and differ meaningfully between agencies — a exam board's requirement is not necessarily the passport office's requirement, even though both are "official Indian government photo specs" in casual conversation.

Why a "small enough" photo can still get rejected

File size and pixel dimensions are validated independently by most portals — passing one check doesn't guarantee the other passes too. A photo squeezed down to a tiny file size but still at the wrong pixel dimensions (or vice versa) will still get rejected. Both numbers need to be correct on the exact file you upload.

A dependable process for any Indian government form

  1. Find the current, form-specific requirement directly on the portal — don't rely on memory from a previous application.
  2. Crop and size the photo to the exact pixel dimensions specified.
  3. Compress to the exact KB limit specified, with a small safety margin.
  4. Re-verify both numbers on the final file right before uploading, since some tools apply changes in an order that can shift the file size again.
